Refund & Cancellation Policy

This Refund & Cancellation Policy applies to all purchases of subscriptions, usage-based services, and other paid offerings on HelloCall.ai, operated by Crawlink Networks Pvt Ltd, a private limited company incorporated under the laws of India ("Crawlink", "we", "us", or "our"). Our registered office address and corporate information are published at crawlink.com. This Policy forms part of our Terms of Service.

1. Overview

HelloCall.ai is a digital, software-as-a-service product. Because access to the Services, infrastructure capacity, and telecommunications resources are provisioned immediately upon purchase, fees are generally non-refundable except as expressly stated in this Policy or as required by applicable law. Nothing in this Policy limits any non-waivable statutory rights you may have under the laws of your jurisdiction, including the Consumer Protection Act, 2019 (India), where applicable.

2. Subscriptions & Renewals

  • Subscriptions are billed in advance for each billing period (monthly or annual, as selected) and renew automatically unless cancelled before the renewal date.
  • Fees already paid for the current billing period are non-refundable, including where you stop using the Services part-way through a period.
  • No refunds or credits are provided for partial periods, unused features, unused seats, or downgrades, except where required by law.

3. Cancellation

  • You may cancel your subscription at any time from your account settings or by writing to support@hellocall.ai.
  • Cancellation takes effect at the end of the current billing period. You retain access to paid features until then, after which your plan will not renew.
  • To avoid being charged for the next period, cancellation must be completed before the renewal date.

4. Usage-Based Charges

Charges for consumed usage — including call minutes, telephony charges, messages, AI processing, and API usage — reflect resources already delivered and costs already incurred with carriers and infrastructure providers. Such charges are non-refundable once incurred, including where the outcome of a call or AI interaction did not meet your expectations.

5. Free Trials & Promotional Credits

  • Free trials, free tiers, and promotional credits carry no monetary value, are non-transferable, and are not redeemable for cash or refunds.
  • If a trial converts to a paid plan, charges from the conversion date are governed by this Policy. You are responsible for cancelling before the trial ends if you do not wish to be charged.

6. Duplicate or Erroneous Charges

If you believe you have been charged in error — for example, a duplicate payment or a charge after a valid cancellation — contact support@hellocall.ai within seven (7) days of the charge, with the transaction reference. Verified erroneous charges will be refunded to the original payment method. Refunds are normally processed within 7–14 business days of confirmation, though the time for the amount to reflect in your account depends on your bank or payment provider.

7. Service Issues & Credits

If the Services experience a material outage or defect attributable to us, our sole obligation, and your exclusive remedy, is — at our discretion — to use reasonable efforts to restore the Services and, where we consider it appropriate, to issue a pro-rated service credit. Service credits have no cash value, are applied against future invoices only, and are not redeemable as refunds. Issues caused by third-party networks, carriers, your equipment, or factors outside our reasonable control do not qualify.

8. Chargebacks

Please contact us before initiating a chargeback or payment dispute so we can resolve the matter directly. Initiating a chargeback for a valid charge may result in suspension of your account while the dispute is investigated. We reserve the right to contest chargebacks we believe to be invalid and to recover amounts properly owed.

9. Taxes & Third-Party Fees

Taxes, duties, payment-gateway fees, and currency-conversion charges collected as part of a transaction are refundable only to the extent we are able to recover them. Fees charged by third parties (such as your bank) are outside our control and are not refundable by us.

10. Termination for Breach

If your account is suspended or terminated for violation of our Terms of Service or applicable law, you remain responsible for all fees incurred, and no refund will be due for any unused portion of the Services, to the maximum extent permitted by law.

11. How to Request a Refund

  • Email support@hellocall.ai from the email address registered to your account.
  • Include your organization name, the transaction reference or invoice number, the amount, and the reason for the request.
  • We will acknowledge your request and respond after verification. Approved refunds are made to the original payment method only.

12. Changes to This Policy

We may update this Policy from time to time. The "Last updated" date above reflects the latest revision. Changes apply prospectively to purchases and renewals made after the change takes effect.

13. Governing Law

This Policy is governed by the laws of India and is subject to the dispute-resolution provisions of our Terms of Service.
